Invoice Manager Documentation

Step 1: General Settings: To set your company logo, company details, Invoice additional notes and Currencies for the invoices, you need to visit Invoice Manager => Settings in your admin panel.

Step 2: Payment gateway settings: Second tab on Invoice Manager => Settings page is Payment Gateways. Here you can add parameters for your Payment Gateways. Please note that PayPal and Stripe can work together. But RazorPay works alone. RazorPay doesn’t work with PayPal/Stripe. RazorPay is meant for Indian merchants to manage payments and invoices of Indian clients only. Hence for RazorPay, INR (₹) will be the only currency, irrespective of the currency you set in General Settings.

Step 3: Email settings: Third tab on Invoice Manager => Settings page is Email Settings. Here you can configure your own emails for “Invoice Created” and “Invoice due” emails using the shortcodes.

Screen 1: When you click on Invoice Manager => Clients menu you will see a list of all the clients which you’ve added in the past. Here you can add a new client by clicking on +Create Client button as shown below.

Screen 2: Please note that you need to add a client before you create an invoice for him/her. To create a client, you need to click on Invoice Manager => Clients menu of your WP admin panel and then click on +Create Client button. When you click this button, you will see a form where you need to add all the related details of that client like his/her name, email, phone number, address as well as Tax ID. Please note that in India, we now have GST number so Indians will put “GST NO: AABBSSDDXXXXXX” in this field.

Screen 3: Client info can be edited or clients can be removed completely by clicking on Edit and Delete buttons as shown below:

Screen 4: Search to add client in an invoice: Whenever you want to create a new invoice for a client. Just add 2-3 letters of his email ID and all the clients with those letters will appear in search. When you select the email ID of required client, all the details of that client will automatically appear in the invoice as shown below:

 

Screen 1: When you click on Invoice Manager => Invoices menu you will see a list of all the invoices which you’ve created in the past. Here you can search a particular invoice. You can also filter invoices on this page based on a particular date range. You can even download invoice details of all the invoices or details of invoices with a particular status (paid, due or refunded) in Excel format.

Screen 2: Create invoice: In order to create an invoice, you need to go to Invoice Manager => Invoices menu and then click on +Create Invoice button as shown below:

Then you need to enter email ID or letters of email ID of the client for whom you want to create the invoice. As you start typing, you will see email ID in the bottom of your text. You need to select the email Id of the client and once selected all the related details of the clients will be auto filled in the invoice. Here you can add new rows, add price or description by just clicking on the space for it. It’s that simple!

Screen 3: Save Invoice , Preview Invoice and Send to Client options are available at the Invoice screen.

Screen 4: Unpaid Invoices: After you create the invoice, it will be listed in Invoice Manager => Invoices page with tag as “Unpaid”. Now when you click on ACTION menu, you will see following options as shown below:

Select Manual Payment option, if you client has paid manually (cash or bank transfer etc) instead of through the online Payment Gateways. Select Remind if you want to send an email to the client for reminding him/her about this invoice. If you want to “Edit” the invoice then click on Edit option. If you want to duplicate the invoice then click on Copy option. If you want to download the invoice in PDF format then select PDF option. If you want to share the Invoice link to the client so that he can check the invoice and see the Payment link then select Share Link option. If you want to check the history of the invoice then select History option and if you want to Delete the invoice then select Cancel option.

Screen 5: Paid invoices: Like Unpaid Invoice, paid invoices also have a few options as shown below:

Select View option to view the invoice. If you want to download the invoice in PDF format then select PDF option. If you want to share the Invoice link to the client so that he can check the invoice then select Share Link option. If you want to refund the payment to the client for this Invoice then select Refund option and payment will be refunded automatically from your PayPal or Stripe or RazorPay account. If you want to check the history of the invoice then select History option and if you want to Delete the invoice then select Cancel option.

Screen 6: Invoice Screen for clients will be shown to clients as below. They will be able to make the payment and download it from here.

Screen 7: Manual invoices will look like the invoice seen below:

Click on Invoice Manager => Reports to view the payment history graphs.

PayPal Standard
– If you are using PayPal Standard method just add your PayPal email id.

PayPal API
– Follow below steps to find the parameters.
1. Log in to your PayPal Business account.
2. Click the My Account > Profile tab.
3. Under My Profile tab click on Selling tools.
4. On Selling tools page click on Update link in API access row.
5. Click on View API Signature on API Access page.
6. Copy and paste the API username, password, and signature.

Stripe Payment Gateway:

Procedure to find the parameters for LIVE and TEST accounts are same, follow below steps to configure any of the method.

  1. Login to your Stripe account.
  2. Go to API menu from the left dashboard and under API keys you all find both the required parameters.

Note: If you have created a Test account within Stripe then, the Box color will be light orange. Otherwise, for Live it all be green.
